Terms of Use

1. Who we are. W9Chaser23 (the "Service") is provided by 23 Forever Bookkeeping LLC, doing business as 23 Forever Bookkeeping & Solutions ("we," "us"), 116 Liddell Road, Colora, MD 21917, Maryland.

2. What the Service does. The Service lets you keep a list of vendors, send them reminders asking for a W-9, and track the status of those requests. The Service does not collect, store or review W-9 forms or tax identification numbers.

3. Not tax, legal or accounting advice. The Service is a reminder and tracking tool. It does not tell you who must receive a Form 1099, does not prepare or file any tax form, and is not tax, legal or accounting advice. Deadlines and thresholds can change; confirm them with a qualified professional. W-9 is an IRS form. We are not affiliated with or endorsed by the IRS.

4. Accounts. You must give accurate information and keep your login secure. You are responsible for activity under your account.

5. Your vendors' information. You may add only vendors you have a genuine business relationship with. You confirm that you have the right to give us their contact details and to have us email them on your behalf. You are responsible for the accuracy of that information and for the content of any custom message you add.

6. Bookkeepers and client accounts. If you use the Service for your clients' vendors, you confirm that each client has authorized you to do so and that your agreement with each client allows it.

7. No tax IDs or W-9 files. Do not enter Social Security numbers, Employer Identification Numbers, W-9 forms or other tax IDs into the Service, including the notes field and imports. We may delete such content if we find it.

8. Reminders. Reminders are sent by email to the addresses you provide, on the schedule you set. You are responsible for not sending reminders to anyone who has asked you to stop. Vendors can opt out using the link in each reminder, and we will stop sending to them.

9. Plans and payment. The Free plan includes up to 5 vendors. The Season Pass is a one-time payment of $49 for up to 50 vendors for one filing season, which ends on April 15, 2027. The Bookkeeper plan is $99 per season for unlimited clients and vendors for that season. Features and prices may change for future seasons. Payments are processed by a third-party payment processor. Full refund within 3 days if you have not sent more than 0 reminders; otherwise payments are non-refundable except where required by law.

10. Acceptable use. Do not use the Service to send spam, harassing or misleading messages, to impersonate anyone, to contact people you have no business relationship with, to violate any law, or to disrupt or reverse engineer the Service.

11. Suspension and termination. You can stop using the Service at any time and ask us to delete your account. We may suspend or end access if you break these Terms or misuse the Service.

12. Intellectual property. The Service, its design and branding belong to us. Your vendor list and notes remain yours.

13. Disclaimer of warranties. The Service is provided "as is" and "as available." We do not guarantee that reminders will be delivered or answered, or that you will receive every W-9 you need.

14. Limitation of liability. To the fullest extent permitted by law, we are not liable for indirect, incidental, special or consequential damages, including penalties, missed filings or lost vendor relationships. Our total liability for any claim is limited to the amount you paid us in the 12 months before the claim, or $100, whichever is greater.

15. Changes. We may update these Terms. Continued use means you accept the updated Terms.

16. Governing law. These Terms are governed by the laws of the State of Maryland.
